Register name and purpose

Register name: FISSI Lanes

Purpose: Managing reservations, user identification and resource allocation (slopes, lanes, training slots).

Personal data processed and sources

• User account and role (coach, manager, admin, user)
• Name and contact details (email, phone)
• Club / organization
• Reservation details (date, time, slope, lane, team)
• Log data (logins, changes)
• Athlete information indirectly (team name; no PII unless specifically entered by the club/manager)
• Coaches’ phone numbers can be shown to other coaches only with the coach’s consent (either at the profile level or per reservation) to facilitate coordination of training sessions.
• A coach’s account details can be shared with other Lanes resorts only with the coach’s separate consent to support smoother onboarding at another resort.

Sources: the user, the user’s organization (e.g., club/resort), and system logs.

Legal basis for processing

• Contractual necessity (provision of the service)
• Legitimate interests (system operation and misuse prevention)
• Consent (e.g., email communication, where requested separately)

Separate consents

The following processing actions are based on the coach’s separate consent and can be changed later in the user profile.

• Phone number sharing with other coaches: the phone number may be shown to other coaches only to coordinate slope and lane reservations.
• Account detail sharing with other Lanes resorts: basic account details may be shared with another Lanes resort to support smoother onboarding there. This does not automatically create access rights in that resort.
• Consent changes are recorded with timestamps.

Disclosures and transfers

Data is not disclosed to third parties without a legal basis. Within the service, coaches’ phone numbers may be shown to other coaches only with consent, and account details may be shared with other Lanes resorts only with separate consent. Technical maintenance may take place within the EU/EEA.

Data retention

• Active reservations: retained as required for operations
• Archived reservations: up to 5 years
• User accounts: deleted no later than 24 months after inactivity

• Right of access to own data
• Right to rectification and erasure
• Right to object and to restriction of processing
• Right to data portability
• Right to lodge a complaint with the Data Protection Authority
